Job Description:

The Supply Chain & Admin Assistant provides operational support for procurement, supplier management, contract administration, compliance, and office administration activities for operations in Jordan and Syria. The role ensures efficient procurement processes, effective supplier relationships, compliance with organizational policies, and smooth administration of the Amman office.

Key Responsibilities

1. Supplier & Market Management (20%)

  • Conduct market assessments and identify potential suppliers.

  • Maintain and update supplier databases.

  • Evaluate supplier performance and capabilities.

  • Support supplier negotiations and procurement planning.

2. Tendering & Competitive Procurement (20%)

  • Prepare and issue RFQs, RFPs, and tender documents.

  • Support bid evaluations and supplier selection.

  • Conduct basic financial analysis of bids.

  • Maintain complete procurement and tender records.

3. Strategic Sourcing & Long-Term Agreements (20%)

  • Identify strategic sourcing opportunities and market trends.

  • Support establishment and management of Framework Agreements and LTAs.

  • Assist in supplier negotiations and contract finalization.

  • Monitor supplier performance and contract compliance.

4. Purchase Orders & Contract Administration (5%)

  • Process purchase orders and contracts for goods, services, and works.

  • Ensure procurement documentation is complete and compliant.

  • Track contract implementation and supplier performance.

5. Supplier Relationship Management (10%)

  • Monitor supplier service quality and delivery performance.

  • Resolve supplier-related issues in coordination with stakeholders.

  • Support supplier evaluation and selection processes.

6. Compliance, Reporting & Audit Support (15%)

  • Ensure adherence to procurement policies and regulatory requirements.

  • Prepare procurement reports and spend analyses.

  • Support internal and external audits.

  • Assist with contract renewals, amendments, and closures.

7. Administrative Support – Amman Office (10–15%)

  • Coordinate travel, accommodation, and visitor arrangements.

  • Manage telecom services, utilities, and office service payments.

  • Administer petty cash and support finance documentation.

  • Oversee guesthouse services, cleaners, and receptionist-related processes.

  • Coordinate office hospitality and logistical support.
