Job Summary:
The Receptionist and Administrative Assistant is the first point of contact for members, clients, and visitors of the Piranha Swim Team. This role combines exceptional customer service with efficient administrative support to ensure the smooth operation of daily activities. The ideal candidate is professional, organized, and enthusiastic about contributing to a vibrant swim team environment.
Key Responsibilities:
Greet and welcome visitors, members, and clients with a friendly and professional demeanor.
Handle incoming calls, emails, and inquiries, providing accurate information about Piranha Swim Team programs, schedules, and services.
Manage front desk operations, ensuring a tidy and organized workspace.
Schedule appointments, swim lessons, and events while coordinating with coaches and other team members.
Maintain and update records for members, including registration, payments, and attendance.
Process memberships, fees, and other transactions, ensuring accuracy and timeliness.
Assist in preparing reports, schedules, and communications for internal and external use.
Support promotional activities, updating social media, and assisting with event coordination.
Monitor office supplies and place orders as needed.
Qualifications and Skills:
High school diploma or equivalent; additional certifications or degrees in administration or customer service are a plus.
Excellent verbal and written communication skills in English (additional languages are a plus).
Strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with scheduling or membership software.
Ability to multitask and work in a fast-paced environment.
