The Project Assistant will provide essential administrative and logistical support to ensure the effective implementation of projects across multiple thematic areas, including women’s economic justice, climate change, humanitarian and emergency response, protection, and gender equality. The role focuses on assisting with daily project operations, supporting financial tracking, and facilitating communication with local stakeholders to achieve program objectives.
The ideal candidate is a detail-oriented, highly organized professional with the ability to manage multiple priorities and support the smooth functioning of project activities under the guidance of the Project Officer or Project Manager. This role requires exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
JOB RESPONSIBILITY 1:Administrative and Logistical Support 50%
-Support the Project Officer and Project Manager in organizing and coordinating project activities, such as meetings, workshops, and training sessions.
-Handle logistical arrangements, including booking venues, transportation, and accommodation for staff and stakeholders.
-Maintain and update project records, ensuring all documents are organized and accessible.
-Assist with preparing and distributing project materials, tools, and resources.
-Track project deliverables and timelines, providing reminders and updates to the team as needed.
-Provide clerical support, including drafting correspondence, taking meeting minutes, and managing communications.
- Field coverage for activities is expected to approximately 75% of the time, with convenient transportation provided.
JOB RESPONSIBILITY 2:Financial Support and Expense Tracking 20%
-Assist in monitoring project expenses to ensure they align with approved budgets and comply with CARE’s financial policies and donor requirements.
-Prepare and organize financial documents such as receipts, invoices, and payment requests for submission to the finance team.
-Track and reconcile petty cash or field advances used for project activities, ensuring timely submission of financial reports.
-Support the Project Officer in preparing periodic budget updates and financial reports.
-Coordinate with procurement and logistics teams to ensure proper documentation for purchases and expenditures.
-Support communication with local stakeholders, including community-based organizations (CBOs), municipalities, and beneficiaries, to facilitate project implementation.
-Act as a point of contact for logistical or administrative queries from local partners and stakeholders.
-Assist in organizing community consultations and feedback sessions to ensure local participation and buy-in.
-Provide support for capacity-building activities for local stakeholders as directed by the Project Officer or Project Manager.
-Ensure all administrative and logistical processes adhere to CARE’s policies, donor guidelines, and relevant legal requirements.
-Support the implementation of safeguarding measures to protect project staff and beneficiaries.
-Promote CARE’s principles of gender equality and inclusiveness in all interactions and project activities.
JOB RESPONSIBILITY 5:Emergency Response / Staff Security 5%

Qualifications/Education/Training :
Required : Diploma or Bachelor’s degree in Business Administration, Social Sciences, Development Studies, or a related field, or equivalent combination of education and work experience.
Desired :

-Familiarity with donor compliance and reporting requirements.
-Previous experience supporting community-based projects or working with CBOs.
Experience/Technical Skills:
-Minimum of 3 years of experience in administrative, logistical, or project support roles, preferably within INGOs or humanitarian/development organizations.
-Proficiency in Microsoft Office Suite, particularly Word and Excel.
-Strong organizational and time management skills with the ability to prioritize tasks effectively.
-Excellent communication skills in Arabic and English (both written and verbal).
