The Position Summary

Under the supervision of the HR Officer, the HR Intern will work closely with the HR department to assist with the day-to-day HR operational functions and work on the projects assigned to her to ensure quality HR Services and efficiency to the end users.

Essential Responsibilities

  • Ensures the maintenance, organization and update of all Staff’s personnel and job files, Casual Laborers, exited Volunteers and ensure that personnel files are well maintained and documented in the HR personnel files. Any shortages of supporting documents, signatures etc. should be reported in a timely manner
  • Process personnel action forms and maintain personnel records to ensure timely performance evaluations and appropriate actions
  • Assist staff recruitment by sending invitations, documenting reference checks and draft job offers, hiring PAFs and contracts.
  • To facilitate preparation and issuance of the experience verification letter/s to volunteers, casual laborers, and to assist in preparation of reference check for ex-staff upon request
  • Provide administrative assistance to the HR team in casual laborer recruitment, performance reviews
  • Assist with collecting signatures for new recruitments, staff benefit claims, performance reviews and other HR documents while ensuring that all assigned approvals are obtained in a timely manner upon request
  • Support the HR team in the exit processes while ensuring the exit checklist is maintained and all support documents are documented in a timely manner.
  • Assist the HR Officer for the regular maintenance of staff list, leave, recruitment, and performance and probation management databases/trackers upon request
  • Communicate with the national staff based in Syria to ensure that administrative support documents are obtained on a timely manner to support the HR induction, recruitment, performance and exit process, if needed
  • Perform any other duties assigned by the HR Officer.

Supervisor Responsibilities: None

Reports Directly To: HR Officer.

Knowledge and Experience

  • University Degree in management, administration, or related fields.
  • A fresh graduate / or a candidate with one year of experience in HR or other related fields.
  • Strong multi-tasking, organizational, prioritization skills are necessary.
  • Accuracy and attention to details are necessary.
  • Proficiency in written and spoken English and Arabic.
  • Proficiency in Microsoft Office applications including Excel and Word.

  • Good general understanding of humanitarian relief and development-based organizations.
  • High level of personal integrity, and honesty.
  • The ability to interact effectively with international and national staff members is required.
  • The ability to communicate remotely with staff and build professional relationships with them.
  • The ability to write professional emails and communicate clearly with stakeholders.
  • A demonstrated ability to work quickly and accurately
  • Meet deadlines and process information in support of changing program activities is necessary.
