About our Country Program

Relief International has been implementing programming in Jordan since 2004, in the wake of the Iraqi refugee crisis and are currently actively engaged in the response to the Syria refugee crisis in Jordan, including provision of services to both refugees and the host community. Currently, Relief International’s portfolio in Jordan focuses on the education and livelihoods sectors the host community and the camps. Relief International also values coordination with other agencies and the government of Jordan and takes leadership roles within the response as relevant.

RI operates in seven countries in the Middle East region:  Iraq, Jordan, Lebanon, occupied Palestinian Territory (oPT), Syria, Turkey, and Yemen, with a focus on the four RI sector pillars: Health, WASH, Education, and Economic Opportunity.  We employ more than 4,000 staff (direct and indirect) in the Middle East region and implement a range of humanitarian and development programs valued at approximately USD 70 million on an annual basis.

 

  1. Job Profile

 

The Grants and Awards Coordinator plays a central role in managing Relief International’s portfolio in Jordan. This includes ensuring compliance with donor requirements, overseeing proposal development, coordinating reporting processes, and supporting efficient program implementation. The Grants and Awards Coordinator serves as the primary liaison between in-country donors and RI on awards-related matters while collaborating with program, finance, and operational teams to maintain the highest standards of grant management.

 

  1. Key responsibilities

 

Accountability & Complexity

  • Ensures compliance with donor requirements, maintains accurate records, and delivers high-quality proposals and reports on time
  • Involves navigating donor regulations, coordinating with various teams, and ensuring awards-related processes, reports, and deliverables are completed accurately and on schedule.

 

Proposal Development

  • Lead and coordinate the development of high-quality funding proposals, ensuring adherence to donor requirements and compliance and alignment with Relief International’s strategic priorities.
  • Work closely with Country program teams, regional Program development  and RI Support team technical advisor to design technically sound projects that address donor priorities and community needs -ensure that cross-cutting issues such as gender, protection, and accountability are integrated; as well as that lessons learnt from previous projects are taken in consideration.
  • Collaborate with all relevant teams to create detailed, donor-compliant budgets, ensuring needed costs are accounted for.
  • Use tools such as proposal calendars, go/no-go assessments, and procurement plans to streamline the proposal development process.
  • Conduct quality assurance reviews of all proposals to ensure consistency, accuracy, and compliance with donor guidelines.
  • Alongside the Country Director, lead on scoping funding new opportunities for the mission, in alignment with Relief International’s priorities.

Awards Management and Compliance

  • Serve as the central point of coordination for all awards management related cycle within Relief International Jordan’s portfolio, ensuring that awards are managed in compliance with donor requirements and organizational policies.
  • Maintain an up-to-date awards tracking system, including awards key information, , reporting deadlines, deliverables, and any other requirements.
  • Act as the go-to resource for program and support teams on donor regulations, Donor-compliance standards, and organizational awards management procedures.
  • Conduct regular awards reviews with program and finance teams to monitor progress, address challenges, and ensure timely completion of awards deliverables.
  • Develop and maintain detailed award files, including contracts, amendments, reporting schedules, and compliance checklists.
  • Oversee the close-out process for awards, ensuring that all final reports, financial reconciliations, and deliverables are completed on time.
  • Conduct final compliance checks to ensure that all donor requirements have been met before award closure.
  • Coordinate with finance and program teams to resolve any outstanding issues related to award expenditures or deliverables.
  • Support in preparation  for awards-related audits, ensuring all required files are accurate, complete, and accessible.

Donor Reporting and Communication

  • Coordinate and compile timely, high-quality donor reports, ensuring consistency between narrative, financial, and monitoring data.
  • Liaise with program, finance, and monitoring teams to collect and validate data and information for donor reports.
  • Communicate with donors to provide updates, address queries, and respond to any requested revisions in reports or proposals.
  • Track and monitor reporting deadlines, ensuring that all submissions meet donor schedules and requirements.
  • Facilitate preparation of briefing documents, presentations, and other materials for donor visits and meetings – in coordination with relevant functions focal pints.

Donor and Partner Coordination

  • In collaboration with Country Director, represent Relief International in meetings with donors, partners, and other stakeholders as required.
  • Conduct and oversee due diligence assessments for donors and partners, ensuring compliance with Relief International’s standards.
  • Draft and finalize partnership agreements, including Memorandums of Understanding (MoUs), ensuring all annexes and terms are properly reviewed.
  • Provide capacity-building support to partners as needed to ensure alignment with donor and organizational requirements.

Overall Program, budget and financial Support Support the team to familiarize with key RI program/awards related processes. Maintain detailed and accurate records of internal processes, ensuring all updates and revisions are documented and shared.

  • Collaborate with finance teams to monitor Award budgets, ensuring expenditures are aligned with approved budgets and donor regulations.
  • Support the teams during Awards amendments (i.e. modifications, extensions, etc.) and lead the coordination process in country and with the Support office
  • Monitor Award payment schedules, working closely with finance to ensure timely receipt of donor funds.
  • Provide financial compliance guidance to program teams to ensure adherence to donor-specific requirements.
  • Provide training to program and support teams on donor compliance, reporting requirements, and awards management tools.

  1. Person Specification

 

Essential criteria

  • Master's degree in a relevant field
  • At least 3-5 years of relevant work experience in grants/awards development and management in development and/or humanitarian programs
  • Previous experience working with US-Grants i.e PRM and USAID/BHA, European Union and UN entities e.g UNICEF, UNOCHA
  • Experience in proposal development, reports writing and editing
  • Fluent written and spoken English required. Arabic strongly preferred.
  • Experience working in a multi-cultural setting
  • Competence with Windows, Microsoft Office
