This is to announce that Amman delegation has a vacancy for a Premises Supervisor at the Premises Department in Amman, Jordan.
Premises Manager 1 participates in the management of the Premises department for Jordan delegation.
RELTIONSHIPS
- Internally, interacts with other ICRC employees and users of ICRC premises.
- Externally, interacts with municipal authorities, landlords, suppliers, service providers, etc.
General Functions
- Understands and adheres to the seven Fundamental Principles of the International Red Cross and Red Crescent Movement
- Understands and adheres to the ICRC Code of Conduct
- Understands the roles of the components of the International Red Cross and Red Crescent Movement
- Respects and observes staff regulations and security rules at all times.
- Represents the ICRC in a professional manner at all times.
- Develops and maintains a pleasant and conducive working environment with colleagues and line managers.
- Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC.
- May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary.
ACCOUNTABILITIES AND RESPONSIBILITIES
Premises Management
- Develops appropriate monitoring procedures to ensure that the sites are kept clean, safe and in a good state of repair and stocked with all necessary supplies.
- Ensures the application of the ICRC Staff Accommodation policy and standard equipment lists.
- Supervises ordering or purchasing of related material, supply according to needs, in coordination with Logistics, and maintains related stock.
- Work closely with the deputy head of premises on the attribution of the premise’s services requests.
- Work closely with the deputy head of premises on updating residences map and IRIS lease management lists.
- Revise the residence master sheet and ensure to keep it up to date and accurate.
- Monitors the day-to-day maintenance, repair and cleaning of the premises as well as the budgets required for these activities
- Draws up an annual inventory of movables and a summary of claims, if necessary, manages the administrative follow-up of existing insurance claims for Premises.
- Completes inventories of the ICRC offices and accommodation and always ensures the compliance with the existing standard lists and the accommodation policies in place.
- Supervises regular checks and inspections of the premises, equipment and grounds keeping accurate records where appropriate.
- Oversees service contracts and ensure payment of related bills.
- Maintains a facility folder for a chronological history of the premises to be kept current at all times.
Lease Management
- Ensures all leases and supporting documents are in good order.
- Keep digital archive of leases and supporting documents on the Team space and ensure all original copies are kept organized and categorized.
- Collaborates with Finance department for all the financial issues in relation to the Premises – rent payment, etc.
- Prepares and updates Premises list in IRIS lease management.
- Support the premises management with the lease drafting, and communication with the landlords.

Safety & Security
- Oversees the implementation of passive security of ICRC buildings, adapts the passive security measures, if necessary
- Oversees that all staff use equipment in a safe manner and are appropriately trained.
- Ensures that a register of all hazardous chemicals in use on the site is developed and maintained and ensure that all staff who use the chemicals are aware of how they should be safely used and stored.
- Continuously monitor compliance with health & safety regulations
- Manages the key to the premises and access cards.
PEOPLE MANAGEMENT RESPONSIBILITIES
- Understands and supervises the Performance Management & Development (PMD) activities for employees under their supervision.
- Makes sure that deadlines for the PMD cycle are met.
- Engages in ongoing and continuous feedback and support, particularly for employees under their supervision, but also other staff members.
- Organizes regular meetings within their team to ensure optimal coordination of the work and proper flow of information.
- Ensures that job descriptions for employees under their supervision are up to date; seeks feedback and support from the HR Department if needed.
- Plans and coordinates the annual leave of the employees under their supervision ensuring continuity of the operations throughout the year and making sure that there are no outstanding holiday balances at the end of the year.
- Coordinates and supports the employees under their supervision in their personal development by coaching and advising them on internal and external training and development possibilities.
ADDITIONAL DUTIES
- Follows up on all work-related messages and correspondence with the relevant contacts and departments.
- Is aware of the delegation’s objectives and has a good knowledge of the Movement and other contacts relevant to the position.
- Collects and shares information so as to improve the ICRC’s understanding of the environment and humanitarian trends and responses.
- Represents the ICRC in an appropriate way during activities, in meetings and in the field, and avoids any activity that may reflect negatively on the ICRC’s image.
- Takes responsibility for their own professional learning and development.
EDUCATION AND PROFESSIONAL EXPERIENCE REQUIRED
- University degree or advanced technical certificate or equivalent
- Hotel management background or previous facilities management is an asset
- 4-5 years in the same field of activity or related fields preferably in INGOs.
- Computer proficiency.
- Excellent command of written and spoken English
- Excellent negotiation skills
- Interpersonal, team leadership and managerial skills
- Analytical and organizational skills
- Proactive and accurate
