Job Summary :

The HR Assistant is mainly responsible for the coordination of North-east Syria recruitment related activities (mainly for certain level of positions)  from recruitment request to onboarding as well as providing support to hiring managers ensuring effective implementation and compliance of the CO recruitment and selection SoP. This role is required to ensure sufficient archiving of all recruitment files in collaboration with North East Syria HR team.

 

Responsibilities and Tasks

Job Responsibility 1

Coordinate recruitment and selection process for national staff and support the onboarding process.

60% of time:

 

  • In collaboration with hiring manager, follow up to ensure the end-to-end process for various recruiting workflows aligns with the recruitment and selection SoP (from requests, recruitment strategy meetings, job posting, longlisting, scheduling tests/interviews, reference checks and onboarding);
  • Ensure all candidates receive timely feedback after each recruitment stage ensuring effective communication for each step;
  • Prepare the offer letters for new joiners and employees changing positions after a successful recruitment process and ensure approval by Head of HR;
  • Liaise with line managers and NES HR team in coordinating the onboarding process for new joiners;
  • Conduct recruitment and validation of casual staff and database management in collaboration with NES hiring managers and HR team;

 

  • In collaboration with line manager and HR at the base to follow up to ensure the completion of specific department induction of new hires based on level of position in line with the onboarding checklist;

Job Responsibility 2

Tracking of all NES recruitment related activities

20% of time:

  • Effective follow up and tracking each recruitment activity reflects the progress of each vacant position and provide updates to line manager when required;
  • Collaborate with line manager in providing updates on recruitments to support organogram update.

Job Responsibility 3

Archiving

15% of time:

  • In close collaboration with HR team in NES ensure the successful creation of new joiner files;
  • Archive all recruitment files and documentation in collaboration with HR team

 

Job Responsibility 4

Other Responsibilities

5% of time:

Any additional tasks/responsibilities which may include support HR teams in other tasks based on volume of work as assigned by line manager.

Internal Relationship:

  • NES Managers-exchanging information and recruitment collaboration;
  • CARE Syria HR team-close collaboration;

 

External Relationship:

  • Candidates
  • HR recruitment service provider

Education Degree / Training

Required: 

Minimum of University Degree in a social science or any related field.

Desired:

Degree in HR

Technical Experience / Technical Skills

Required:

 

  • 1 year’ experience in HR specifically in recruitment;
  • Excellent attention to detail, highly organized with ability to work independently;
  • Proficiency in MS Office Tools (Word, Excel, Power Point etc);
  • Excellent communication skills (written and oral) and ability to work in a diverse team in an effort to promote a diverse and inclusive working environment;
  • Ability to be flexible and adaptable to work with team remotely to meet ongoing work demands;
  • Demonstrate CARE Core Competencies (Relationship Building, Dynamic Learning Mindset, Delivery Results, Communication and Inclusion) & Core Values;
  • English and Arabic Skills (Written and Oral).
