JOB SUMMARY
The procurement assistant will be a member of the procurement and logistic team which falls under the supply chain department. To support the effective and efficient execution of procurement and logistics activities in accordance with International Medical Corps’ procurement policies, donor requirements, and internationally recognized procurement standard. The role contributes to the achievement of value-for-money, transparency, and timely delivery of goods and services that support program implementation.
MAIN TASKS AND RESPONSABILITIES
- Collaborate closely with program, finance, and supply chain teams to ensure the effective application of IMC Standard Operating Procedures (SOPs) and donor compliance requirements.
- Oversee the full procurement cycle, including tendering, bid evaluation, vendor selection, and contract award, ensuring transparency and adherence to IMC procurement policies.
- Coordinate and implement procurement activities to support the timely delivery of program needs in alignment with International Medical Corps (IMC) policies and procedures
- Prepare, issue, and manage purchase orders and procurement contracts while monitoring supplier performance and resolving any procurement-related disputes.
- Manage routine procurement under established long-term agreements (LTAs/BPAs), including issuing work orders and coordinating with program focal points to confirm delivery schedules.
- Ensure full compliance with internal procurement controls, donor guidelines, and applicable legal and regulatory frameworks.
- Provide logistical support when needed, including assistance with transportation, warehousing, and asset tracking.
- Participate in the supplier prequalification process, particularly for medical commodities, in accordance with organizational and donor standards.
- Maintain and regularly update the vendor database, ensuring complete and accurate vendor registration records.
- Carry out market assessments to identify new suppliers, evaluate their capabilities, and negotiate optimal terms and pricing.
- Develop and maintain constructive relationships with reliable suppliers.
- Monitor supplier performance using key performance indicators (KPIs) and initiate corrective actions to address performance gaps.
- Maintain organized, up-to-date procurement documentation and records for audit and reporting purposes.
- Prepare and submit complete payment packages to the finance team, including all required supporting documentation.
- Coordinate delivery timelines and order follow-up with warehouse staff to ensure smooth inbound logistics and inventory management.
- Generate and submit procurement-related reports on a daily, weekly, or monthly basis, as required by management.
MINIMUM REQUIREMENTS
- A bachelor’s degree in pharmacy, Industrial Engineering, Supply Chain Management, or a related discipline.
- A minimum of one year of experience in supply chain operations, preferably within a humanitarian organization, is highly desirable.
- Very good negotiation, communication, and interpersonal skills.
- High attention to detail with the ability to manage multiple tasks and meet deadlines in a dynamic, fast-paced setting.
- Very good analytical thinking and problem-solving skills.
- Proficient in Microsoft Office applications.
- Fluent in English.
