Job Description and Requirements

This is to announce that Amman delegation has a vacancy for a Premises Maintenance Supervisor at the Premises Department in Amman, Jordan.


PURPOSE  

The premises maintenance supervisor manages and supervise the maintenance officers and team leaders and insure proper maintenance service of ICRC premises and equipment. 

Authorize to carry out purchases according to the ICRC financial rules and delegation regulations. 

RELATIONSHIPS  

Internally: Interacts with ICRC employees and/or the users of ICRC premises.  

Externally: Interacts with suppliers and service providers.  

 

GENERAL DUTIES 

  • Understands and adheres to the seven Fundamental Principles of the International Red Cross and Red Crescent Movement 
  • Understands and adheres to the ICRC Code of Conduct 
  • Understands the roles of the components of the International Red Cross and Red Crescent Movement 
  • Respects and observes staff regulations and security rules at all times 
  • Represents the ICRC in a professional manner at all times 
  • Develops and maintains a pleasant and conducive working environment with colleagues and line managers 
  • Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC 
  • May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary 

 

ACCOUNTABILITIES AND RESPONSIBILITIES  

  • Handle and follow up maintenance requests in ICRC residences, offices, warehouse and workshop, and attribute them to the concerned specialist. 
  • Follow up security requirements in all apartments according to the Safety and security officer check list and recommendations. 
  • Handle and follow up the setup of new residences/ offices. 
  • Controlling and monitoring the refuelling system in all ICRC residences and offices and report all related readings to the DPM/ PM including the consumption reports. 
  • Follow up emergency and urgent requests in weekends and holidays. 
  • Handle and follow up the implementation of energy, water, and fuel saving programs including all related electromechanical works. 
  • Handle and follow up the utility files for electricity, water, internet bills for offices and residences. 
  • Follow up annual general cleaning of boilers. 
  • Follow up renovation and maintenance repairs of residences in coordination with the head of premises. 
  • In charge of setting up offices for newcomers. 
  • Responds to all staff needs and complaints related to functionality of Offices.  
  • Manages the blacksmith work and using the welding machine for maintenance issues (fixing metal doors, windows, sliding doors, protection bars, etc...) 

Admin/ Log Duties 

  • Manage and control maintenance related expenses. 
  • Purchase the necessary materials and supplies in coordination with log and finance departments, all related to the maintenance needs. 
  • Deal with suppliers and service providers and coordinate their works within ICRC premises. 
  • Distribute the working advance on maintenance team members and supervise expenditures.  

Team Management and Reporting 

  • Supervise and manage the maintenance team and follow up on their daily tasks attributed to them. 
  • Manage the premises helpers and follow up on their daily duties. 
  • Manage Maintenance store and follow up on the inventory count quarterly. 
  • Train and supervise the maintenance team, including team leaders and technical workers.  
  • Manage preventive maintenance procedures across all ICRC premises and residences. 
  • Respond to all staff needs and complaints. 
  • Conduct daily check of ICRC premises and handle any issues in coordination with the maintenance team. 
  • Create reports and statistics related to the maintenance activities to the PM and DPM. 
  • Create and organize a small-scale agreement with service providers when required. 
  • Set objectives related to the maintenance department and its team members. 
  • Evaluate the maintenance team for annual performance review. 

Engineering and consultation: 

  • Participate of premises related projects that require engineering perspective. 
  • Contact and negotiate with contractors and suppliers in the best of ICRC interest and advice the head of premises accordingly. 
  • Conduct site inspection visits for the premises related construction projects including preparing well detailed site inspection reports. 
  • Participate in proposing changes for the delegation, warehouse and workshop to upgrade the services level. 

PEOPLE MANAGEMENT RESPONSIBILITIES  

  • Understands and supervises the Performance Management & Development (PMD) activities for employees under their supervision 
  • Makes sure that deadlines for the PMD cycle are met 
  • Engages in ongoing and continuous feedback and support, particularly for employees under their supervision, but also other staff members 
  • Organizes regular meetings within their team to ensure optimal coordination of the work and proper flow of information 
  • Ensures that job descriptions for employees under their supervision are up to date; seeks feedback and support from the HR Department if needed 
  • Plans and coordinates the annual leave of the employees under their supervision ensuring continuity of the operations throughout the year and making sure that there are no outstanding holiday balances at the end of the year 
  • Coordinates and supports the employees under their supervision in their personal development by coaching and advising them on internal and external training and development possibilities 

Certifications / Education required

  • • Technical school (with relevant certificate).
    • Fluent command of English and/or French.
    • Computer proficiency.

 

Professional Experience required

  • ​• 4 to 6 years' work experience in a similar position.
