INTERN REPORTS TO

DCOP and HR and Admin Specialist

Project Background:

The Jordan Himaya Activity aims to enhance the availability and quality of essential services and protection for survivors of domestic and sexual violence (DSV) in Jordan. The project has two outcomes: 1) survivor-centered institutional capacity improved, and 2) legislative frameworks for protecting survivors and responding to violence strengthened. To achieve these outcomes, the project will apply a survivor-centered systems-strengthening approach to improve prevention, response, and protection services, and to support the development and implementation of survivor-centered legislation and policies.  

Internship Purpose:

The internship aims to provide the intern with general operational and administrative support to ensure smooth implementation of project activities, while giving the intern exposure to day-to-day project workflows.

Key Responsibilities:

  1. Support in preparing training and workshop materials (printing, packing, distributing).
  2. Enter data using Microsoft Excel spreadsheets, ensuring accuracy and consistency.
  3. Assist with event logistics such as setting up venues, arranging participant sign-in sheets, and organizing stationery.
  4. Support team members with filing,  document archiving, scanning, and photocopying.
  5. Take clear and accurate notes during internal team meetings, workshops, or training sessions and share them with the supervisor.
  6. Track and organize office supplies and ensure proper stock.
  7. Maintain photo archives and simple documentation for activities.
  8. Track vendor deliveries and service confirmations.
  9. Provide ad-hoc operational assistance to the operations/events team.

Deliverables:

By the end of the internship, the intern is expected to:

  1. Organized filing/archive system for the period of internship.
  2. Support at least 2-3 events/workshops supported with logistics.
  3. Simple documentation (attendance sheets, photos, materials prepared).

Learning Outcomes:

The intern will gain:

  • Practical exposure and understanding of how to organize trainings and workshops from planning to execution.
  • Experience in administrative, operational processes and vendor management
  • Improved proficiency in Microsoft Office (Word and Excel) for workplace applications such as drafting documents, creating tables, and managing spreadsheets.
  • Skills in accurate note-taking, data entry, and documentation that support project implementation.
  • Improved professional communication, teamwork, and organizational skills.

Reporting:

The project intern will report to both Deputy Chief of party and the HR and Admin Specialist

Qualifications:

  • University student or recent graduate in a relevant field (e.g., Business Administration, HR, Social Sciences).
  • Good communication skills in Arabic and English.
  • Proficiency in basic Microsoft Office applications (Word, Excel, Outlook).
  • Organized, reliable, and willing to learn.
  • Ability to work well with a team.
