POSITION TITLE: Awards Coordinator

TEAM/PROGRAMME: Program Development and Quality

LOCATION: Amman

External representation and communications: Level(2)

-Regular contacts require the exchange of basic factual information to suppliers, beneficiaries or other partners

-Little impact on the reputation and performance of the organization

 

Child Safeguarding:

Level (3) - the responsibilities of the post may require the post holder to have regular contact with or access to children or young people

 

ROLE PURPOSE:

The Awards Coordinator supports the Programme, Finance and Awards teams in awards management, donor compliance, overseeing grants management systems and reporting to support all Save the Children development and emergency awards. The post holder is expected to demonstrate ownership of assigned tasks, proactively coordinate with internal stakeholders, and ensure all processes align with both internal and donor requirements.

 

SCOPE OF ROLE:

Reports to: Awards Team Lead

KEY AREAS OF ACCOUNTABILITY:

Support the delivery of effective Programs, in both development and humanitarian contexts, by:

Compliance

  • Ensure awards are managed in line with SCJ, Member and donor policies.
  • Ensure awards are properly managed on JORISS for the project approval and tracking process
  • Understand key compliance issues related to different donors (line item flexibility; cost eligibility, donor reporting, source and origin, visibility etc) and ensure compliance in these areas.
  • Ensure donor regulations are communicated to program staff during Project Kick Off meetings and regularly throughout implementation.
  • Ensure that all proposals, contracts and amendments are appropriately authorized, new awards documentation is properly registered and updated, and that any issues with the award management system are addressed promptly and effectively.
  • Maintain full and proper documentation and an updated physical and digital record of all active and closed awards, ensuring accessibility for audit and reference.

 

Grants Management

    • Prepare tracking analysis reports and arrange for BVAs meeting of all running awards.
    • Assist the Awards Team Lead in Liaising closely with the budget holders to support the analysis of monthly variance and the coordination of budget realignments requests to donors.
    • Ensure timely submission of high-quality financial and narrative report to members/ donors
    • Prepare and maintain live tracking systems for tasks and internal/external deadlines related to all active awards.
    • Help and assist with ensuring all opportunities, proposals, contracts and amendments with donors are processed and approved through AMS and the system is an accurate reflection of current award status at all times.
    • Ensure that all adequate attachments appear on AMS and are retained as part of the award audit trail.
    • Support the Awards Team Lead in conducting portfolio-wide analysis of active, closed, and upcoming awards to identify trends, risks, and opportunities.

     

    Business Development and Donor Engagement

    • Actively support the Awards Team Lead during business development processes, especially in identifying new funding opportunities, summarizing call guidelines, conducting context and situational analysis, and documenting and aligning SCJ’s experience with proposed interventions.
    • Contribute to donor mapping exercises, identifying strategic opportunities across institutional, bilateral, and corporate donors.
    • Assist in developing or formatting donor engagement materials such as profiles, capability statements, and pitch decks in coordination with relevant teams.

    QUALIFICATIONS AND EXPERIENCE:

    • Bachelor’s degree in business administration or any related fields.
    • Demonstrated experience within the grants/awards/business development department of a national or international organization including experience with  grants management.
    • Excellent analytical skills – the ability to analyze complex financial data and design and produce effective management information.
    • Experience of budgeting and budget management.
    • Exposure to and familiarity with key donors rules and regulations including USAID, EC, UN etc.
    • Understanding of financial systems and procedures.
    • Experience of computerized accounts packages, Excel, PowerPoint and Word.
    • Basic data analysis skills.
    • Strong communication and interpersonal skills.
    • Ability to manage a complex and diverse workload and to work to tight deadlines.
    • Willingness and ability to dramatically change work practices and hours, and work with incoming surge teams, in the event of emergencies
    • A full appreciation of the value of co-operation, both internationally and within a team environment.
    • Written and verbal fluency in English
