Human Resources Assistant

Location:  Amman

Reports to: HR Manager 

 

Summary:  Working as an important member of a diverse team who are committed to serve the world’s most vulnerable. The HR assistant supports many of the HR activities of the programme. On a day-to-day basis the HR assistant carries out a variety of HR functions required to ensure all HR and administration needs of the programme are met. All activities are carried out in line with Medair policies and procedures and according to any applicable donor, HQ, field or government guidelines.

HR Administration

 

  • Ensure all staff HR documentation and files are organised properly.
  • Process, verify and maintain personnel related documentation, including staffing contracts, recruitment, training, and employee leave.
  • Prepare all kinds of HR documentation like contracts, amendments, etc with the supervision of the HR Manager.
  • Maintain and keep the staff “Medair people” accounts up to date.
  • Do first screening of applicants for recruitment.
  • Be the focal point between Medair and the health insurance.
  • Ensure the labour reports are correct and submitted on Portfolio. 
  • Understand and follow the Medair HR policies, procedures, guidelines, and standards.
  • Process all administrative activities related to health insurance such as claims follow up, adding and removing employees and other related tasks.
  • First screening, testing and selection processes of applicants.
  • Participate interviews upon request.
  • Provide information about training/courses for nationally recruited staff that are relevant to the work based upon Programme needs,
  • Prepare PDF’s for all payments.

 

Communication

  • Communicate HR policies and procedures to staff where and when needed.
  • Support the organization of staff meetings and trainings.

 

Other

  • Organize inductions for the new national staff.
  • Support HR manager in following up on the performance review stages.
  • Support the HR Manager with additional tasks.

Vocational qualification

University degree in Human resources, Business Administration, Finance or any related field.

 

Work experience

  • knowledge of Jordan Labour law and other relevant legislation (1+ yrs.)
  • Previous NGO experience (2+ yrs.)

 

Languages

  • Intermediate English (spoken and written)
  • Excellent Arabic (spoken and written)
  • Willingness to improve language skills, spoken and written

IT

  • Strong computer skills with Microsoft Excel, Word, and Outlook.
